How to Manage Links for Multiple Clients as an Agency

Running every client's links from one shared account gets messy fast. Here is a practical way to separate, organize and report on client links without the chaos.

How to Manage Links for Multiple Clients as an Agency

Most agencies start managing client links the same way: one account, one list, everything mixed together. It works for the first client. By the third or fourth, that same account is a scroll of unrelated links, nobody remembers which folder belongs to which brand, and pulling a report for one client means filtering out everyone else's data first.

The problem is not the number of links. It is that a single flat account was never built to separate clients from each other. Once you are managing more than one, you need structure, not just more links.

Why a shared account breaks down with more than one client

A link account designed for one person assumes one owner, one audience and one set of goals. An agency has none of those in the singular. Different clients need different link names, different destinations for the same campaign type, and reporting that never crosses over into another client's numbers.

Without separation, small mistakes get easier to make: editing a live redirect for the wrong client, sending someone the wrong analytics link, or losing track of which custom domain belongs to which account. None of these are dramatic on their own, but they add up as the client list grows, and they are the kind of mistake that is hard to notice until a client points it out.

Give each client its own workspace

The fix is to stop treating client accounts as one long list and start treating each client as its own workspace. A dedicated workspace keeps a client's links, folders and analytics separate from every other client, so switching between accounts does not mean scrolling past work that has nothing to do with the one you are looking at.

This also limits the blast radius of a mistake. If someone on your team is editing a redirect inside one client's workspace, there is no risk of touching a different client's live link by accident, because the two are not sitting in the same list.

Organize links inside each workspace with folders

Inside a single client's workspace, campaigns still pile up: one link for each social platform, one for each product drop, one for each paid ad set. Folders keep that pile navigable. Group links by campaign, by platform or by quarter, whatever matches how that specific client thinks about their marketing, and the right link is a couple of clicks away instead of a search through a growing list.

This matters more once a client has been active for a while. A workspace with a year of campaigns and no folders is nearly as hard to work in as one shared account holding five clients at once.

Share results without handing over the whole account

Clients want to see how their links are performing, but that does not mean giving them login access to a workspace where your team is actively working. A shareable analytics report solves this: it shows the numbers a client cares about, clicks, top sources, device split, without exposing the account itself or any other client's data.

This is also faster for you. Instead of exporting numbers into a deck every month, you send a link to a live report that updates on its own. The client checks it whenever they want, and you are not rebuilding the same summary from scratch each reporting cycle.

Protect every client's numbers from bad traffic

Paid social campaigns attract bot and fraud traffic, and when you are running that traffic for multiple clients at once, a spike on one account can look like a spike everywhere if you are not filtering it out. Filtering non-human clicks out of your analytics keeps each client's numbers honest, so a bot swarm hitting one campaign does not inflate the click count you eventually report as real engagement.

This matters even more for agencies running paid social campaigns, where budgets are tied directly to reported performance. Clean numbers are not a nice-to-have there. They are what the next month's budget conversation is based on.

Keep launches on schedule across every account

Product drops, promotions and campaign launches rarely land on the same day for every client, and manually swapping a redirect at the exact right moment does not scale once you are doing it for more than one account. Scheduling a link change in advance removes that manual step: you set the new destination and the time it should go live, and the switch happens on its own, whether that is 9am for one client or midnight for another in a different time zone.

Track which client campaigns are actually converting

Clicks alone do not tell a client whether a campaign worked. Tagging each client's links with a UTM parameter per campaign lets you separate performance by source, by platform and by client inside the same analytics view, instead of guessing which link drove which result. When a client asks which channel is worth the next budget increase, you have an answer instead of an estimate.

Put the structure in place once

None of this requires migrating clients one by one or overhauling how you work today. It is a matter of setting the structure up as you go:

  1. Move each client into a separate workspace instead of one shared account.
  2. Use folders inside each workspace to group links by campaign, platform or quarter.
  3. Share results through a live report link instead of exporting a new deck every month.
  4. Turn on bot and fraud filtering, especially for clients running paid social.
  5. Schedule campaign launches in advance instead of swapping redirects manually.
  6. Tag every client link with a UTM so performance questions have real answers.

A shared, unstructured account might work while you have one client. It stops working the moment you have three. Set the structure up now, and adding the next client is a new workspace, not a new mess to untangle.
